+1 from me, I’m at over 1500 logins from adding items over the years/jobs and many of them I’ll likely never need again, but don’t want to delete them just in case they’re needed in the future. Adding them to some other Organization/Folder to filter out as a workaround doesn’t help when the default search goes through All Vaults.

Could it be that Bitwarden inadvertently created an “unlisted” archive area just like we are all hoping for? Does anyone think this “feature” could be used in this way as yet another workaround?

Hello Bitwarden organization admins and owners!

As part of an update that brings greater flexibility to your collections, items that do not belong to a collection are no longer displayed and accessible in the All vaults view across devices. They can be found in the Admin Console in the Bitwarden web app under the Unassigned category in Collections.

To make these items visible and accessible across all Bitwarden clients and apps, they must be assigned to a collection.

Nice! I’m going to try that out in my personal (non-family) organization. Moving everything out of my Archive collection to unassigned. It might be sufficient for my purposes.

Initial impressions: I like the accounts not showing up generally. I think this is my preferred archive workaround so far. However, I’m concerned about why I cannot export any items (assigned to a collection or not) as it would be nice to be able to export the archived account list.

Observations

It’s a bit clunky, but could be added to the workarounds others have suggested. I couldn’t find a way to move items straight to an organization without assigning a collection. I could not unassign collections in the browser extension. Depending on preferences, some may not like that the only way to access archive items in in the web vault > admin console, others might really like that.

Process to use this method:

  1. Move items to a collection (“Archive”) in your (personal) organization
  2. Login to the Admin Console and
  3. Remove the assigned collection.

When moved to an org and removed from all collections:

  • Items disappear from the browser extension!
  • Items are not included in reports!
  • Items can be viewed
  • Export? My Personal organization export was empty (no items from assigned or unassigned collections.) Also, Items didn’t show up in the export of My Vault.

Side Note

I noticed changes to the web-vault didn’t cause my browser extension to sync.

Thanks for the comprehensive review. It really isn’t the workaround for everyone. It would be great if the developers of Bitwarden would finally take care of this issue and develop a suitable archive function.

Need this as well, 1Password has it, right now, I have like 8 amazon accounts, but some of them are from other countries, I don’t want them to come up everytime when I try to select the one I need.

In case you haven’t read through the entire thread for work-arounds, please note for your use-case, you can edit those unwanted login entries, click the :gear: (gear) icon next to the amazon URI, and select “Never” as the match detection method (then Save).

I have some vault items that I no longer use but need to keep a record of all the associated log-in info. Please, add the ability to mark a Vault Item as ‘hidden’ so that it no longer shows up in any of my Vault’s Tabs or Vault Search.

Perhaps, all ‘hidden’ items can go into a single Folder named ‘Hidden’ or an option in BW Settings to ‘show hidden vault items’. Thank you!

Great suggestion. I’m still surprised how many great solutions are proposed here for years, and none of them are picked up by the developers. Really disappointing

I’m sure it comes down to time and priorities. Bitwarden started out as a 1 man team and look how far it’s come!

I’m very happy with it as a product and it’s price point. My top priorities being security, stability and price. Any additional features as just a bonus. :upside_down_face:

Many are piked up and implemented. After that happens, votes are removed (and returned to the voters), people stop adding comments and the topic slowly falls to the bottom of the list, away from view.

Also, It is important to note that this forum is just suggestions from users, not a “to-do list”. Although Bitwarden employees do monitor the forums, their roadmap is much more likely to be influenced by “Business value” than “age” or even “number of votes/comments”.

You’re not looking in the right place. Since 2018 (when feature requests were first hosted in this Community Forum), at least a dozen user-initiated feature proposals have been implemented, and around a dozen more are under development or consideration by the developers.

Just for this one here, there were several workarounds proposed that might already provide a fix for some, and others were very simple suggestions (I believe one of them even with a pull request by @gsdstr), so it seems like low-hanging fruit for a request that’s in the top 10 of feature requests by vote count.

With old accounts, I move them into an archived folder. I think it would be good to have an option to exclude certain folder(s) when running a search.

There is a feature request with a few hundred votes for this. Head over there and click the blue “vote” button at the top of the screen. You have 20 votes, so if this is one of your fav’s, vote for it.

You can edit the entry and set the “matching rule” to “Never”. That will effectively “hide” the item from appearing in any autofill selection listing.

Another practice is to prefix the name with “z” (lower-case “Z”). One would think that the highest ASCII printable character, “~” would always push items to the bottom of any list, but one would be mistaken. In BitWarden, the opposite occurs, and they appear at the top of the list!
I also create a folder with the name “zzArchive” and move those entries into that folder for an extra way of separating them.

That would not exclude them from search results!!
