Linkable & Searchable Email/Phone Fields for Account Management

Problem Statement

Currently, when managing multiple accounts, there is no built-in way to associate baseline details like email addresses and phone numbers with each account in a linkable and searchable manner. This makes it difficult to track which accounts use a specific email or phone number when updates or changes are needed.

Current Workarounds & Their Limitations

  • Custom Fields (Hidden/Text Fields): While I can store emails and phone numbers in custom fields, they are not indexed by the search function. Search only works with account names.
  • Manual Naming Conventions: The only way to make email/phone numbers searchable is by appending them to the login name, resulting in unnecessarily long and cluttered account names. Example format:
(Site Name) (Email1) (Phone Number1) - Login Name  
(Site Name) (Email2) (Phone Number3) - Login Name  
(Site Name2) (Email2) (Phone Number1) - Login Name  
  • Folder-Based Organization: I currently use folders to categorize logins by type (e.g., Games, Work, Email). However, this approach fails when an account is associated with both an email and a phone number, as folders do not support cross-referencing between these details.

Proposed Solution

  • Introduce linkable, assignable fields for email addresses and phone numbers within account entries.
  • Each email or phone number should be treated as a separate entity that can be assigned to multiple accounts.
  • Enable the search function to filter and locate accounts based on linked email addresses or phone numbers.
  • Provide a reverse lookup feature where selecting an email or phone number displays all associated accounts.

This feature would allow users to manage and track accounts more efficiently, eliminating the need for ineffective workarounds.

Don’t trust AI. Searching does also search other fields.

Try putting some test data in the “notes” field of an entry. Then search for that test data. “All Items” [sic] will then show just the entry(ies) that match. For me, this is enough.

If you prefer a more “organized” approach, you can create custom fields on any vault entry to contain your baseline details and then use Advanced search to limit your search to the custom field.
