With all the recent updates, I wanted to checkin on our backup options.
I’ve always done them from the web vault: first My Vault and then from the Admin Panel I backed up the Organization Vault.
Always “password protected” and encrypted .json files for me.
Some time ago I noticed the Mac OS Desktop App seems to be able to also export the vault for both “My Vault” and the Organization. And from what I can tell this seems to work.
I’m only asking since some very knowledgeable people on the Reddit forum were not (yet) aware if this is a working and reliable method to do backups - so I wanted to check here.
On the Windows Desktop app, only items in the Individual Vault can be exported, but it is possible that things are different in the Desktop app for macOS (oddly, it seems that PR 9284 and PR 9286did implement organization export for all browser extensions and desktop apps back in May, 2024, but now I see no evidence of this functionality in version 2024.9.0 of the desktop or version 2024.9.1 of the browser extension).
However, I know that if you do an Organization Vault backup from the Web Vault Password Manager app (without switching to the Admin Console), then it will only export those Organization Collections for which the user has Can Manage privileges. There is language in the PRs linked above saying “As already possible on the web-vault members of an organization can now also export their managed collection from the browser extension/desktop app” — this suggests that if you are able to do an organization export from the macOS Desktop app, it would not include the full Organization Vault (only those collections that you manage).

Update: The option to export organization vault data only appears if you have “Can Manage” privileges for at least one collection. This reinforces the caveat provided above: if you do not do the exporting frmo the Admin Console (in the Web Vault), then the organization export may not be a complete export (i.e., it will contain only data from the collections that you manage).
Windows desktop version 2024.9.0 has both individual and organization expoorts for me. After selecting File, Export Vault, there is a popup that allows me to select which vault to “export from”. Chrome extension on windows is similar.
Nevermind, it turns out that I did not have “Can Manage” permissions to any of the organization collections when I was doing my testing above — since exporting organization data only includes collections that the user manages, the option to export from an organization vault is evidently suppressed if there are no organization data available to export.
