Add archive folder where I can move old items and exclude them from the search.

Still hoping this feature can be added to Bitwarden. Yes, there are workarounds, but adding an actual feature would be much more elegant.

I can see how this work around hides the old accounts in a search for everyday use. The question then is if (as another user pointed out) I wanted to search for a “leaked password” that may be in an old unused login, how do I now include all the items that I’ve set as “Never”?

Any archive functionality, or this workaround, would need to include on option to “include archived/Never” items in the search results.

Setting match detection to “Never” only excludes the login item from being offered as an autofill suggestions, it does not affect searching or search results in any way.

P.S. BTW, there currently is no option to search by password, but that is the topic of a completely separate feature request.

Good to know. I guess my search vs autofill use is much higher than most, because this is where having accounts no longer in use gums up the usability for me and how I thought other people in the thread saw it.

Setting “never” then is a work around that doesn’t work for me.

If you want an alternative work-around while waiting for progress on this feature request, then the best method is to assign the to-be-archived items to an organization (e.g., a free organization in which you are the only member), and then use one of the following two methods:

  • Place the items in a collection, and remove your view access for that collection.
  • Place the items in a temporary collection, then delete that collection, which makes the items “unassigned”.

In both cases, the items will not appear while searching or browsing in the password manager apps. In case you need to access an item that has been “archived” using one of the above methods, you can do so from the Admin Console in the Web Vault.

That seems like it would take a lot of work as items are “archived” going forward.

It would be easier to create a base folder “active” and base folder “archived”. Then selecting the “active” folder searches all active items and “all items” searches both base folders.

Archiving any items means just putting in into the “archived” folder, which can be setup with subfolders as needed.

Still a work-around but looking at the folders tells you what was done, where I don’t know if looking at an item would divulge if it’s part of a collection or if I’d need to open the collection to know.

However, these items should then also be excluded from autofill and suggestions.

I agree and see some other work arounds as better for this. For me though, usually if I’m “archiving” an account it’s because I no longer want or need to visit that site. This being the case, searching without seeing them is a much higher priority for me than preventing them from auto filling.

You can combine such a filtering approach (to hide “archived” items from searches and browsing) with a “Never” match configuration (to hide “archived” items from autofill and autofill suggestions).

This thread to add archival ability to BW has gotten a lot of responses. I took some time to read through and notate my take here. I see 2 reasons that users want this option;

  1. Stop items from being auto-filled on web pages.
  2. Remove items from search results. (make it easier to search active items)

The work arounds include;

prefix name: add z (lower case) to beginning of name to name to bottom of search results (doesn’t prevent items showing up in autofill)

setup the base folders in your vault as “active” and “archive”: organize all items under the appropriate folder. selecting the “active” folder and then doing a search will only show items in that folder (effectively hiding anything in the “archive” folder from the search). searching archived items only requires selecting that folder or selecting all items for an all inclusive search. (doesn’t prevent items showing up in autofill)

change Match Detection to “Never”: edit item, select options icon next to URL and select “Never” (prevents autofill but doesn’t prevent search from showing items)

making items unassigned (move to a temp collection and then deleting the collection)
items that do not belong to a collection are no longer displayed and accessible in the All vaults view across devices. They can be found in the Admin Console in the Bitwarden web app under the Unassigned category in Collections - Assigning to collection will make visible again

As an individual user, the separate base folders covers what I need, though I did add a vote here since I see a need for this, especially as the number of logins (whether passwords or passkeys) people have grows. Good to know I can also change Match Detection on items where autofill becomes an issue, but haven’t needed to so far.

Any BW fix should make it easy review and when needed, restore, any archived items.
